Managing Contacts

Master the core of Clientverse — managing contacts, companies, deals, activities, and reports.

Creating a Contact

To create a new contact:

  1. Navigate to Contacts in the sidebar
  2. Click the New Contact button
  3. Fill in the contact details (name, email, phone, company, etc.)
  4. Click Save to create the record

Contact Fields

Each contact record includes the following fields:

  • First Name / Last Name — The contact's full name
  • Email — Primary email address
  • Phone — Primary phone number
  • Company — The organization the contact belongs to
  • Job Title — The contact's role within their company
  • Address — Street address, city, state/region, postal code, country
  • Tags — Custom labels for filtering and segmentation
  • Notes — Free-text field for additional context

Managing Companies

Companies represent the organizations you do business with. To create a company:

  1. Navigate to Companies in the sidebar
  2. Click New Company
  3. Enter the company name, industry, website, address, and other details
  4. Click Save

Once created, you can link contacts to the company and view all associated deals and activities from the company detail page.

Tracking Deals

Deals represent your sales opportunities. Each deal moves through your pipeline stages as it progresses.

Creating a Deal

  1. Navigate to Deals in the sidebar
  2. Click New Deal
  3. Enter the deal name, expected value, close date, and associated contact or company
  4. Select the current pipeline stage
  5. Click Save

Deal Stages

The default pipeline stages are:

  • Lead — Initial interest identified
  • Qualified — Prospect has a confirmed need and budget
  • Proposal — A proposal or quote has been sent
  • Negotiation — Terms are being discussed
  • Closed Won — Deal successfully closed
  • Closed Lost — Deal was lost or abandoned

Drag and drop deals between stages in the pipeline view, or update the stage from the deal detail page.

Tip: Administrators can customize pipeline stages under Settings → Pipeline to match your sales process.

Logging Activities

Activities help you track every interaction with your contacts and companies:

Activity Types

  • Call — Log a phone call with notes and outcome
  • Email — Record an email exchange
  • Meeting — Log an in-person or virtual meeting
  • Task — Create a follow-up task with a due date

Creating an Activity

  1. Open a contact, company, or deal detail page
  2. Click Log Activity
  3. Select the activity type, add notes, and set a date
  4. Click Save

Upcoming tasks and scheduled activities appear on your dashboard so nothing falls through the cracks.

Searching & Filtering

Clientverse provides powerful search and filtering across all your CRM data:

  • Use the global search bar to find contacts, companies, or deals by name, email, or phone
  • Use column filters on list views to narrow results by tags, stage, date range, or owner
  • Save frequently used filters as custom views for quick access

Tip: Combine multiple filters to create targeted lists — for example, all contacts tagged "VIP" with an open deal in the "Negotiation" stage.

Importing & Exporting Data

CSV Import

Bulk import contacts, companies, or deals from a CSV file:

  1. Navigate to the relevant section (Contacts, Companies, or Deals)
  2. Click Import and upload your CSV file
  3. Map CSV columns to Clientverse fields
  4. Review the preview and confirm

CSV Export

Export your data at any time for backups or external analysis:

  1. Navigate to the list view you want to export
  2. Apply any filters to narrow the data set
  3. Click Export to download a CSV file

Note: Exported data may contain sensitive customer information. Handle CSV files securely and share them only with authorized team members.

Deleting Records

To delete a contact, company, or deal:

  1. Open the record's detail page
  2. Click the Delete button
  3. Confirm the deletion when prompted

Caution: Deleting a company will unlink all associated contacts and deals. Deleting a contact removes their activity history. These actions cannot be undone.

Reports & Analytics

Clientverse includes built-in reports to help you understand your sales performance:

  • Pipeline Overview — Visualize deals across stages with total values
  • Revenue Forecast — Weighted forecast based on deal probabilities and expected close dates
  • Activity Summary — Track team activity volume (calls, emails, meetings) over time
  • Won/Lost Analysis — Review win rates and reasons for lost deals

Tips for Power Users

  • Use tags consistently to segment contacts (e.g., "VIP", "Partner", "Lead Source: Website")
  • Log every interaction as an activity so your team has full context on each relationship
  • Review your pipeline weekly to keep deal stages and close dates accurate
  • Use CSV export to create custom reports or share data with tools like spreadsheets or BI platforms
  • Set follow-up tasks on every open deal to ensure consistent outreach
